How does Reed collect, classify and process my information?

Personal data is any data that may be used to uniquely identify a living individual. Your contact information and other personal data will be used to service and fulfil your account and enable your use of Reed services. In addition, Reed may use your personal data to provide you with information about relevant goods and services that we think will be of interest. You must ensure you undertake the permission of any Data Subject in respect of personal data you supply.

Reed has classified the different types of personal data requested of you for collection, processing and retention. Some of the personal data listed in the table below may be stored as a cookie on your machine by your web browser - see the cookies section for the different cookie classification types. Your personal data is protected by Reed to the extent allowed by law.

Certain information may be kept indefinitely or otherwise in relation to UK statutory law. For example, information relating to a last will and testament, pension information or a legal contract.

Credit and debit card processing.

When you use one of Reed's web sites, you may choose to make a purchase by providing valid credit or debit card information. This includes your credit or debit card number, the cardholder name, start date, expiry date, issue number and Card Verification Number.

Payment card information supplied online is managed by Reed in one of two ways:

  • Unprocessed: Reed does not handle nor process your payment card details. Instead, Reed embeds what is commonly known in the industry as a "Hosted Order Page". The Hosted Order Page is provided by CyberSource: a global payment service provider hosted in the USA. When you enter your payment card information on the embedded CyberSource Hosted Order Page, Reed does not see nor use your payment card details, instead, the payment information is being lodged with CyberSource where it is validated and the transaction is made with Reed's bank. Reed obtains an acknowledgement from CyberSource that the payment was made.
  • Processed: Reed also hosts a service in the USA based on Oracle's ATG web commerce platform. In this case Reed tokenises your payment information - which is retained by Reed for the purposes of personalising and facilitating future transactions with Reed. When you authorise a purchase, your stored card information is then handed to CyberSource to make a payment transaction.

Please note that when placing an order, you will also be asked for your contact details for delivery purposes.



CANDIDATE PRIVACY POLICY

This Policy was updated on October 19, 2012

1. Summary
This Candidate Privacy Policy (this "Policy") describes the types of personal information which Reed Elsevier and its affiliates (collectively, "Reed Elsevier", "we" or "us") may collect, how we may use the information, with whom we may share this information, and the choices that you can make regarding our use of this information. The identifiable information about yourself that you provide to Reed Elsevier as an applicant for a position with Reed Elsevier ("Candidate Data") will be used for recruitment, employment and related purposes, and your Candidate Data will be protected in accordance with this Policy and applicable law. As set out below, Candidate Data includes any identifiable information about you that you or anyone else may provide (on your or Reed Elsevier's behalf) in the context of an application for a position with Reed Elsevier. Please note that this application process is provided in conjunction with a third party service provider, Taleo, which is a subsidiary of Oracle. As a service provider, Taleo/Oracle supports our application tracking system (ATS) and, as such, is obligated to follow the provisions of this privacy policy. 2. Consent
By submitting your Candidate Data, you confirm and agree that:

  • you have read and understood this Policy
  • Reed Elsevier may process your Candidate Data according to the purposes set out in this Policy; and
  • your Candidate Data may be transferred worldwide to any country or location where Reed Elsevier does business.
Any such transfer will be consistent with this Policy.

By submitting your personal information, you consent to processing and use of your data as described in this privacy statement.

This Policy is not contractual in nature and does not form any part of any contract of employment or any offer.

 

3. Scope
This Policy applies to all Reed Elsevier entities that may process your Candidate Data.

4. Application of Local Laws
TReed Elsevier recognizes that certain laws may require stricter standards than those described in this Policy. Reed Elsevier will process your Candidate Data in accordance with all applicable laws and regulations. This Policy is designed to provide a minimum standard of protection for your Candidate Data worldwide. . Where the applicable laws and regulations provide a lower level of protection of your Candidate Data than that established by this Policy, then the requirements of this Policy will apply in addition to those laws and regulations.

5. Principles for Processing Candidate Data
Reed Elsevier respects your privacy rights and interests. Reed Elsevier will observe at least the following privacy principles when processing Candidate Data:

  • Candidate Data will be processed fairly and lawfully.
  • Candidate Data will be collected for specified, explicit and legitimate purposes as set out in this Policy and the applications or submissions you complete, and will not be further processed in a way incompatible with those purposes.
  • Candidate Data will be adequate, relevant and not excessive in relation to the purposes for which it is collected and/or further processed.
  • Candidate Data will be accurate and, where necessary, kept up to date pursuant to Candidate's input. Reasonable steps will be taken to ensure that any Candidate Data which is inaccurate or incomplete (having regard to the purposes for which such Candidate Data was collected or is to be further processed) will be erased or rectified.
  • Candidate Data will be kept in a form which permits identification of Candidates for no longer than is necessary for the purposes for which the Candidate Data was collected or is to be further processed.
  • Candidate Data will only be collected or further processed in accordance with your rights under this policy and/or the applicable legislation.
  • Appropriate technical, physical, and organizational measures will be taken to prevent unauthorized access, unlawful processing, and unauthorized or accidental loss or destruction of Candidate Data (as further described in the 'Security and Confidentiality' section below).
  • Candidate Data will only be transferred in accordance with the provisions of this Policy, as further detailed in the 'Transferring Candidate Data' section below.

6. Collection of Candidate Data
You may use various methods to submit Candidate Data to Reed Elsevier. These methods may include: (a) e-mail or paper submission to Reed Elsevier personnel, where applicable; (b) online submittal of Candidate Data processed by a third party service provider into an electronic database based in the U.S. and accessible by Reed Elsevier authorized personnel worldwide; or (c) a Reed Elsevier employment application (online or hard copy, where applicable). Candidates should be aware that providing false information during any of the steps of the application process may lead to rejection of the application or termination of any subsequent employment.

In addition, Reed Elsevier may receive Candidate Data relating to you from third parties, including (but not limited to) your references, former employers or employment screening agencies. This Policy will govern all such additional Candidate Data.

7. Purposes for Processing Candidate Data
Reed Elsevier and its entities may process your Candidate Data for legitimate human resources purposes as set out in this policy. These purposes include: identifying and/or evaluating candidates for Reed Elsevier positions; making a decision about whether an individual should be hired; maintaining appropriate record-keeping related to hiring practices; analysing hiring processes and outcomes; conducting background investigations, where permitted by law; and any additional purposes set out in the applications or submissions you complete.

If a Reed Elsevier entity processes your Candidate Data for purposes that go beyond the purposes described above, the entity responsible for the new purpose will ensure that: (a) the new purpose materially conforms to the provisions of this Policy; (b) you are informed of: (i) the new purpose for which your Candidate Data is to be used; and (ii) the categories of recipients of your Candidate Data; and (c) to the extent required by applicable law, your consent is obtained prior to commencing any processing of your Candidate Data under any such new purpose.

8. Types of Candidate Data The types of Candidate Data we may obtain include:

  • Work history
  • Education
  • Compensation history
  • Employer feedback, references and any other details of past employers or other people you would like us to contact
  • Online questionnaire results
  • Contact information (e.g., your name, postal or email address, and/or phone or fax number as applicable)
  • Your previous addresses and/or any previous names you may have used
  • Any additional information you may provide (e.g., a cover letter); and
  • Other information (e.g., language preference, age, date of birth, and gender).

As the application process proceeds, you may also be asked to provide the following additional Candidate Data:

  • Tax payer identification number (e.g., Social Security Number); and
  • Criminal history, where permitted by applicable law.

9. Security and Confidentiality
Reed Elsevier is committed to taking appropriate technical, physical, and organizational measures to protect Candidate Data against unauthorized access, unlawful processing, accidental loss or damage, and unauthorized destruction of your Candidate Data.

To safeguard against unauthorized access to Candidate Data by third parties outside Reed Elsevier, all electronic Candidate Data held by Reed Elsevier is maintained on systems that are protected by secure networks.

Reed Elsevier entities limit access to internal systems that hold Candidate Data to a select group of authorized users who are given access to such systems through the use of a unique identifier and password. Access to Candidate Data is limited to and is provided only to relevant users for the purpose of performing their official duties (e.g., a human resources manager may need access to your contact information for the purposes of setting up an interview). Compliance with these provisions will be required of all third-party administrators who may access your Candidate Data, as described in the 'Transferring Candidate Data' section below.

10. Access and Correction
You may inquire as to the nature of the Candidate Data relating to you, which is stored or processed by any Reed Elsevier entity. You will be provided access to a copy of your Candidate Data, regardless of the location of the data processing and storage. All such requests for access may be made by sending an email request by to the human resources office of the Reed Elsevier entity to which you submitted your candidate data or to hr.support@reedelsevier.com.

You may also contact the relevant Reed Elsevier entity to withdraw your consent for further use of your Candidate Data. In some circumstances, withdrawing your consent to Reed Elsevier's use or disclosure of your Candidate Data may restrict your ability to take advantage of the relevant Reed Elsevier products, services or opportunities.

If any of your Candidate Data is inaccurate or incomplete, you may request that your Candidate Data be amended by submitting a new resume/CV with the updated information (e.g., new home address or change of name).

In certain jurisdictions you may have the legal right to request that your Candidate Data be deleted from our systems. If you contact us to request such deletion we may, in order to comply with your request, request that you provide evidence of your identity or other administrative information in order to fulfil our legal obligations.

11. Transferring Candidate Data
Reed Elsevier may transfer Candidate Data to selected external third parties that have been engaged to perform certain employment-related services on behalf of Reed Elsevier. To the extent that these third parties process your Candidate Data, they will do so in accordance with the provisions of this Policy. Where, as part of the online application process, you are transferred to the website of any such third party, we provide notice that you are leaving Reed Elsevier's website. When visiting a third party's website, we encourage you to carefully read the privacy policies of those third parties.

Reed Elsevier may also be required to disclose certain Candidate Data to third parties: (1) as a matter of law (e.g., to tax and social security authorities); and (2) to protect Reed Elsevier's legal rights (e.g., where a Reed Elsevier entity has been sued).

We may transfer your Candidate Data to other countries where we do business, but we will do so only for the purposes described in this Policy. When we transfer your Candidate Data to other countries, we will take steps to ensure the same level of protection for that Candidate Data as is set out in this Policy unless otherwise required by applicable laws.

12. Changes to this Policy
Reed Elsevier may need to modify this Policy as needed, for example, to comply with changes in business operations or laws and regulations. Reed Elsevier will post all changes to this Policy.

 



How does Reed employ third party organisations?

In accordance with the Data Protection Act 1998, Reed will provide and export personal data about you to other members of our company group including Reed Elsevier Inc in the United States and to any subcontractor appointed to carry out the provision of, or any aspect of, our products or services for the purposes of (a) providing you with access to such products and services (b) providing customer support, billing and other similar activities related to the website and (c) keeping you informed about our other products, services, offers and upcoming events and to improve our services. We may also provide your personal data to selected, trusted third parties worldwide for the purpose of providing you with direct marketing offers which we think may be of interest. If you do not wish to receive information about other products, services, offers and events, notify us in writing.

Third parties are legally tasked with processing your personal data in line with principles specified by Reed. Third parties are also held legally responsible for securing your personal data at an appropriate level of security in relation to applicable data protection laws and widely accepted industry standards. Government regulatory and investigative bodies may be granted access to any data Reed retains as required by UK or (where applicable) international law for (sub-)processors of data in those countries where the data resides.

You may request copies of records that are held about you by downloading, completing and sending a copy of the Subject Access Request (SAR) form to our Data Protection Officer (details are on the form). In the event that you are unable to directly correct information held about you on a web site or if you prefer to write to us to make changes to your communications preferences, please click here to find out how to contact us and let us know how to help.

If you want us to erase the information we hold about you, please write to us using the Subject Access Request (SAR) form. Please note that we can only offer to erase personal data where that personal data does not conflict with (a) UK regulatory and legislative requirements, (b) an existing contract that is reliant on your personal data, (c) any (financial) amounts still owed by you relating to a purchase or subscription, (d) combatting fraud.

 



How does Reed handle cookies?

What are cookies?
Cookies are small items of text that are stored on your machine by your web browser in accordance with instructions from a web site. When you visit a web site, the site may ask your web browser to retrieve any cookie the site created. Cookies are comprised of a variable name (e.g. “Full_Name”), a value (e.g. “Joe Bloggs”) and an expiry date. Cookie values may be encrypted for security purposes. Web browsers enable two types of cookie to be stored on your computer: Session and persistent cookies.

What is a session cookie / persistent cookie?
Session cookies last only as long as the web browser session, so these cookies disappear as soon as you close your web browser. Session cookies are necessary to identify your unique browser session to manage and maintain state between pages, to enable back button functionality, etc. Persistent cookies are retained between browser sessions and expire when a specified date is reached. They are necessary in situations such as where you want the web browser to remember your username and password between sessions or to allow shopping basket items to be retained between sessions. These cookies hold no personal data and do not impact your privacy but are essential in enabling key functionality such as ensuring your web browser's back button works. Your consent to allow cookies is not required where only these cookies are used.

Site Feature These cookies offer useful end-user features such as remembering your login details between sessions, remembering items saved in your shopping basket and remembering personalised site layouts / preferences, etc. Both session and persistent cookie types are used to provide useful site features.

Tracking Utilise third party tracking and analytics technologies to optimise sites, identify trends, track browsing behaviour, provide preference related marketing and provide functionality such as 'liking' an article, topic, etc.

How may I delete or block cookies?

The instructions below detail how to erase and block cookies for several different web browsers as at the date of this privacy and cookies policy. Please note that it is your responsibility to check the latest settings / options for the applicable web browser to erase and block cookies and Reed does not accept any liability or responsibility whatsoever for any of the instructions below varying or being out of date.
